Cancellation & Refund Policy
UBOK SAAS LLC (the “Company,” “we,” “us,” or “our”) provides property management software solutions as a service (SaaS). To ensure global tax compliance and secure transaction handling, our order process is conducted by our authorized online reseller. This reseller acts as the Merchant of Record (MoR) for all transactions. Our reseller handles all primary customer service inquiries regarding payment processing, global tax (VAT/GST/Sales Tax) remittance, and the technical execution of returns.
1. STATUTORY RIGHT OF WITHDRAWAL (EU/UK CONSUMERS)
In accordance with the European Union (Consumer Rights) Regulations and the UK Consumer Contracts Regulations, individuals purchasing for non-business use (“Consumers”) have a statutory period of 14 calendar days to cancel their purchase for a full refund without providing justification.
1.1 Commencement of Service & Waiver of Rights
By accessing the UBOK SAAS LLC platform, logging into the secure user dashboard, or initiating any manual data entry within the Property Ledger system, you provide your express prior consent for the immediate performance of this service contract. You acknowledge and agree that your statutory right to cancel and receive a refund expires immediately once the digital content or service has been accessed. This is in accordance with the legal exceptions for digital services where performance begins with the consumer’s consent.
2. SUBSCRIPTION MODELS AND RENEWAL TERMS
All subscriptions (Starter, Pro, and Enterprise) are provided on a recurring basis to ensure uninterrupted access to the Property Management suite.
2.1 Billing Cycles
Subscriptions are billed in advance on a monthly or annual basis, depending on the plan selected at the time of purchase.
2.2 Automatic Renewal
To prevent data loss and maintain service continuity, all subscriptions automatically renew at the end of each billing cycle using the payment method on file. It is the user’s responsibility to maintain valid payment information.
3. CANCELLATION PROCEDURES
We believe in full transparency regarding account management. Users may terminate their relationship with UBOK SAAS LLC at any time.
3.1 Notice Period
To ensure that a renewal charge is not processed, cancellation must be initiated via the User Account Settings or via written notice to our support team at least 48 hours prior to the next scheduled billing date.
3.2 Effect of Cancellation
Upon successful cancellation, your account will remain active until the end of the current paid billing period. No further charges will be applied. Following the conclusion of the billing period, access to the Property Ledger and associated management tools will be restricted.
4. REFUND ELIGIBILITY & TECHNICAL DISPUTES
Outside of the statutory 14-day window (where applicable and where the service has not been accessed), UBOK SAAS LLC operates a strict no-refund policy. As a digital SaaS provider, our costs are incurred upon account provisioning.
4.1 Discretionary Refunds
Refunds are evaluated on a case-by-case basis at the sole discretion of our billing department and our Merchant of Record. Circumstances that may lead to a refund include:
- Confirmed Technical Failure: A verified systemic error on our server-side that prevents all access to the platform for a period exceeding 72 consecutive hours, where our engineering team cannot provide a workaround.
- Billing Errors: Verified duplicate charges or incorrect plan applications.
4.2 Non-Refundable Scenarios
Refunds will explicitly not be granted for:
- “Change of mind” or lack of use of the platform.
- Dissatisfaction with the manual data-entry nature of the tool (as described in our “Product Features” section).
- Failure to cancel the subscription prior to the 48-hour renewal window.
- Account suspension due to a breach of our “Acceptable Use Policy.”
5. CHARGEBACK PREVENTION & DISPUTE RESOLUTION
We value our relationship with our users and aim to resolve all issues amicably.
5.1 Direct Resolution Protocol
By using this service, you agree to contact UBOK SAAS LLC support at contact@ubok.space regarding any billing discrepancies before initiating a formal dispute with your bank. We commit to responding to all billing inquiries within 24 business hours.
5.2 Fraudulent Disputes
Unauthorized “Friendly Fraud” (initiating a chargeback for a service that was provided and accessed) is taken seriously. We reserve the right to provide login logs, IP access history, and data entry timestamps to the Merchant of Record and the issuing bank to contest fraudulent claims.
6. DATA RETENTION POST-CANCELLATION
In the event of a refund or subscription termination, UBOK SAAS LLC reserves the right to immediately and permanently delete all user-generated data, property ledgers, and account configurations associated with the refunded transaction to maintain database integrity and security.
